Please note that travel information is provided alphabetically (A to Z) by topic.

OutSystems is pleased to host economy/coach class roundtrip air transportation, for you and your guest, from your preferred airport into Liberia International Airport (LIR), on official program dates Monday, May 5 - Friday, May 9, 2025. All qualifiers are required to book air travel through Pan Am Travel. Do not book travel on your own - doing so will result in the refusal of reimbursed expenses.

Please indicate your intended travel dates & any plans for travel extensions on your registration form. The most efficient route will be chosen for you.

Ticketing Process:

  • During registration, you will be prompted to enter your air travel information and preferences.
  • Within 72 business hours, a PanAm Travel agent will email you a proposed itinerary.
  • You have 24 hours to approve or request changes to the proposed itinerary via email.
  • Upon confirmation, your tickets will be issued. Any changes made to your itinerary after ticketing will be at your own expense.

Important Notes:

  • Flights will be offered via the most direct and economical route from your departure city to/from Liberia International Airport (LIR). Any additional costs associated with personal travel deviations, upgrades, preferred airline, or pre/post extensions will be at your own expense.
  • If you have not received an email from Pan Am Travel after 72 business hours of submitting a completed registration, please check that the email has not been sent to your junk mail folder. If you don’t find it there, please email  outsystemsevents@launchinc.com.

Costa Rica’s country code is +506. Most international cell phones work in the area. It is recommended that you activate your International service plan on your phone to minimize any phone charges, texting, and data roaming charges.

Upon arrival, please retrieve your luggage from the baggage claim area and proceed through Customs. After exiting Customs, Event Staff will greet you, assist with your luggage, and guide you to your transportation.

Hosted Transportation (May 5  and May 9 only):
Transportation between Liberia International Airport (LIR) and the W Costa Rica is provided for flights arriving on Monday, May 5, and departing on Friday, May 9. The scenic transfer to the hotel takes approximately 90 minutes.

There are many airports surrounding Costa Rica, OutSystems will only provide transportation in and out of the Liberia International Airport (LIR) on the main arrival and departure dates noted above.

For arrivals/departures on other dates:
If you are traveling outside these dates, you will need to arrange your own transportation to and from the hotel. Please indicate any extended stay plans during registration so we can assist with your hotel reservation if needed.

A list of airport transportation services can be found in the FAQ document. These services are a personal    expense and will not be managed by OutSystems.

Upon arriving at W Costa Rica - Reserva Conchal, please proceed to the Hotel Front Desk to check into your room. Be sure to have your valid passport handy, along with a credit card for any incidentals. Official check-in begins at 3:00 p.m.; if you arrive earlier, pre-tipped bellmen will be happy to store your luggage until your room is ready. The hotel will do its best to accommodate early arrivals.

Once settled in your room, stop by the OutSystems President’s Club Hospitality Area to collect your welcome materials. The Hospitality Area will be open and staffed throughout the week, ready to assist with anything you need to make your stay exceptional.

In general, the standard attire in Costa Rica is comfortable and casual. The hotel requests that guests wear a swimsuit cover-up and shoes when in the lobby, boutiques, and dining areas. Resort casual or active sportswear—such as polo shirts, shorts, sundresses, blouses, sandals, and walking shoes—is appropriate and will keep you comfortable in most settings. Please note that all group evening events will be held outdoors.

Resort Casual* calls for nice shorts or lightweight pants/capris, polos or short-sleeved shirts, blouses, or sundresses.

President's Club event is adult-only as stated in the T&Cs circulated. Unfortunately, we cannot accommodate children/infants and must enforce the policy that no guest under the age of 21 is permitted to attend the venue, even if the qualifier wishes to pay out of pocket.

If you wish to exchange money while in Costa Rica, you can do so at the airport, through the hotel, or at currency exchange shops. However, it is often more convenient and cost-effective to exchange money at your bank before departing.

Before your departure from W Costa Rica, you will receive a personalized departure notice with your scheduled transfer details. Please note that the hotel check-out time is 12:00 p.m. Complimentary transportation to Liberia International Airport (LIR) will be available only on Friday, May 9.

Costa Rica operates on a 120V supply voltage with Type A and Type B outlets, pictured below. Please make sure to bring the appropriate converter for your electronic devices. 

If you wish to modify or extend the travel plans we are arranging for you, we are happy to assist. However, you will be responsible for any additional costs, including airline ticket changes, extra hotel nights, transfers, or other related expenses. Please include detailed extension requests in the registration form. Once a travel agent contacts you, you can finalize your travel plans based on availability and cost.

If you’d like to extend your stay at the W Costa Rica, please indicate your preferred check-in and check-out dates during the registration process. We will check the hotel’s availability on your behalf. If your extension is confirmed (subject to hotel availability), our registration team will notify you. The nightly rate begins at $425 plus taxes and resort fees per night. This rate is not guaranteed.

Please note that Pan Am Travel will not finalize your flight itinerary until the registration team has confirmed your hotel extension. 

OutSystems will be providing gratuities in conjunction with the scheduled program from your arrival to your departure. This includes:

  • Baggage handling at the airport
  • Hotel gratuities (bellman/housekeeping)
  • Gratuities associated with your activity
  • Gratuities at all scheduled evening functions

*Not included: Activities booked on your own or outside of the program dates.

Please come by the Hospitality Area throughout your stay to enjoy complimentary coffee and snacks.   The OutSystems Events Team will be on hand to ensure a comfortable and enjoyable trip for you.

It is recommended that you do not check luggage that contains travel documents, medication, jewelry, electronic equipment, or any other valuables. These items should always be kept with you. We do not recommend bringing valuables on your trip to Costa Rica, but if you choose to do so, it is recommended that you store your valuables in the safe provided in your sleeping room.

Suggestions for carry-on luggage:

  • Airline ticket or copy of itinerary
  • Passport / Government-issued Photo ID / Visa (if required)

  • Phone, charging cables, and portable battery
  • Prescription medication
  • Reading materials / Entertainment
  • Toiletries: Liquids must be 3.4 oz. (100 ml) and fit into a single quart-size zip-top bag (approx. 1 liter)
  • Light sweater or jacket
  • Jewelry and other valuables
  • For overnight flights: ear plugs, eye mask, neck pillow

To minimize the effects of traveling, we recommend the following: 

  • Wear comfortable clothing and footwear 
  • Keep yourself hydrated 
  • Avoid alcohol and caffeine consumption prior to/during your flight
  • Eat small meals during the flight 
  • Stand up and stretch your arms and legs every few hours to encourage proper circulation

The official program dates are Monday, May 5 - Friday, May 9, 2025.

OutSystems is pleased to host accommodations, a group activity, transportation, and various meals during the program for you. Gratuities will be provided with all planned activities and functions. This includes baggage handling at the airport, hotel housekeeping gratuities, and all scheduled food and beverage functions.

President’s Club 2025  program inclusions:

  • Round-trip economy class air transportation between your home city and Liberia International Airport (LIR) for you and your adult guest on program dates.
  • Round-trip ground transfers between the Liberia International Airport (LIR)  and the W Costa Rica on group travel dates only (May 5 & May 9).
  • (1) checked bag per   Qualifier & Guest
  • Accommodations at the W Costa Rica for five days and four nights (May 5- May 9).

Personal Expenses

All attendees are responsible for any incidental purchases, including but not limited to, laundry charges, telephone calls, and gift shop purchases. Gratuities for your services such as laundry, valet, telephone calls, etc., should be taken care of by you at the time services are rendered. Please settle your incidental account with the hotel upon your final check-out.

Final hotel details will be sent approximately 14 days before President's Club. 

All travelers to Costa Rica must have a current passport that is valid for the entire duration of their stay and for at least six months beyond their return date. You and your guest are responsible for obtaining any necessary entry visas based on your respective passport/home country requirements.

Security measures have been instituted on most national and international flights restricting the amount of liquids and gels passengers can "carry-on" to the plane. To comply with these rules, each of your toiletries must be 3.4 oz. (100 ml) or smaller (most drug stores have a section that features these smaller travel size) and you must place all the toiletries in a single quart-size zip-top bag (approximately 1 liter). You must remove this zip-top bag from your carry-on for screening at the security checkpoint. Airlines strictly observe policies regarding items that cannot be included in carry-on bags, including any sharp or flammable objects, such as knives, razors, scissors, pocket knives, letter openers, etc. If any item is questionable, it is best to leave it at home or pack it in your checked luggage.
